Booking Notes
## YOUR PRIVATE TWO-YACHT CHARTER IS BOOKED
Thank you for booking with Ottawa Yacht Tours. We look forward to welcoming your group aboard both yachts. Review your booking confirmation for your departure time and duration.

## Mandatory digital check-in
**Every adult must complete their own digital check-in before arriving. Guests who have not completed check-in cannot board.**

Government-issued photo ID is required for each adult’s digital check-in. Children under 18 must be included in an adult’s check-in, with a maximum of four children per adult. Check-in gives our designated contact ashore a record of who is onboard in an emergency.
**Booking your charter does not check in your guests. Please ensure every adult completes this step.**
## Protect your booking — add within 24 hours
Plans change. **Trip Protection costs 10% of the total yacht rental price for both yachts, plus applicable taxes.**
**With active Trip Protection:**
- One fee-free date/time change, even within 48 hours of departure, subject to availability and our approval.
- Cancellation protection for unexpected illness, injury or a serious family emergency preventing attendance. Supporting documentation may be required.
**Without Trip Protection:**
- **48+ hours before departure:** No date/time change fee. Cancellations are refundable, subject to the policy’s exclusions.
- **Under 48 hours:** Date/time changes cost **20% of the original yacht rental price for both yachts, minimum $25, plus taxes**, subject to availability and our approval. No yacht rental refund if you cancel.
**After departure or a no-show: no rescheduling, refund or credit, with or without protection.** Notify us before departure if you need to change or cancel.
[Add Trip Protection](https://ottawayacht.ca/#change-booking) **within 24 hours of booking**, before the circumstance prompting a cancellation claim occurs. We’ll confirm the amount and arrange payment. Protection activates only after we confirm payment.
The protection fee and change fee are calculated on yacht rental only, excluding food, drinks, decorations, gratuities, booking fees and taxes. Any price increase and unrecoverable food or decoration costs remain payable. Trip Protection and its taxes are non-refundable. Changes of mind and weather preferences are not covered for cancellation.

## Arrival and boarding

**Your entire group must arrive 15 minutes before departure.** Wait on the sidewalk at the marina entrance. Do not enter the docks; our crews will meet you and escort you aboard.
Your booking includes both yachts for up to 24 guests, with a maximum of 12 aboard each yacht.
Late arrivals may delay departure, but your charter ends at its scheduled time unless a paid extension is agreed with our crews. Extensions depend on yacht and crew availability. We’ll confirm the price before you agree.
## Catered food and decorations
[Order food and/or decorations](https://ottawayacht.ca/#order-food) **at least 48 hours before departure.** Food will be ready onboard when you arrive and served once underway. Decorations will be set up before boarding and removed afterward.
**A 50% deposit is payable when ordered; the balance is due before your charter begins.** An 18% gratuity applies to catered food. No gratuity applies to decorations. **Outside food and decorations are not permitted.**
## Drinks onboard
We are licensed to sell alcohol. Wine, Prosecco, craft beer, cocktails, soft drinks and bottled water are available à la carte onboard.
**Drinks are paid for at the end of your charter, with an 18% gratuity included at the point of sale.** Drinks cannot be pre-ordered, and special drink requests are not available. **Outside drinks, including personal bottled water, are not permitted.**
## Your yachts, your music
Bring your favourite playlists! Each yacht has a Bluetooth sound system so you can connect your phone and enjoy your own music. Our crews also have playlists available.

## Manage your booking

Submitting the form does not itself change or cancel your booking or activate protection. We’ll email you to confirm the outcome. For cancellation requests, notice is recorded when your form is successfully submitted.
Rescheduling does not restore refund eligibility lost under the original departure date. Refunds follow our [Cancellation & Trip Protection policy](https://ottawayacht.ca/#cancellation-policy).
## Washrooms and safety
Washrooms are available onboard, but holding-tank capacity is limited. Please use the washrooms at Le Pirate Restaurant, directly across from the marina, before boarding whenever possible.
Please be mindful of alcohol consumed before boarding; its effects may increase once underway. Guests must be fit to board and follow crew instructions. Intoxication or behaviour that creates a safety concern may result in the charter ending early.
